    Accessioning

    The main principles for accessioning are to a) keep a record of the original order; and b) keep track of where items are now stored (and what preservation or digitisation work has been or still needs to be done). We do not yet have a good idea of everything that is in the archive, so this process is being adapted as we learn more.

    The general accessioning procedure is as follows:

    1. Select an item or group of items from the store.
    2. Find the next available number, and start creating a catalogue entry via the form above. This will allocate a unique item number.
    3. More information is generally better in the catalogue, but the crucial parts are those that can not be determined later. The original context, primarily, and also anything that's not easy to see in the photographs or scans. Items are organised in a hierarchy, where each can optionally belong to a 'parent item'. Top-level items have no parent, so their 'Parent item' field should contain "Buffalo Club archives" (this will mean they get listed above in the main item list).
    4. Label the physical item with the number, by labelling its folder or attaching a cotton string cardboard label.
    5. If the item seems significant to the history of the Buffalo Club, digitise it (i.e. take photos or scan it). Digitisation can be of varying effort:
      1. some items are rare, and warrant greater attention and more involved digitisation such as flat-bed scanning or high resolution well-lit photography;
      2. other times can be photographed quickly with a phone and no special lighting. The latter is still useful in many situations.
    6. Return the item to the store, and record the storage location in the catalogue.
    7. Upload any photos to the catalogue item.

    This process differs for 2D and 3D items.

    The item identifiers are of the form BUFF<year>-<seq>[-<part>][<subpart>] where <year> is the year of accessioning; <seq> is a sequence integer of the item; <part> is an optional file position within the item; and <subpart> is an optional alphabetic suffix used when there are multiple photographs or scans of an item.
